Job Overview:

We are seeking a Customer Service & Inside Sales Representative to join our Spare Parts team, with a focus on supporting customer accounts in the paper industry. In this role, you will collaborate closely with our sales team to ensure the smooth management of customer relationships, while taking full responsibility for your specific tasks, including order entry, order tracking, quotes, and issue resolution. Your role is critical in ensuring customers receive accurate and timely service, and you will be expected to manage your responsibilities independently while contributing to the overall success of the team.

Key Responsibilities:

  • Collaborative Account Support: Work in tandem with the sales team to manage customer accounts. While you will not own the entire account, you will take full responsibility for the customer service aspects related to order entry, tracking, and follow-up.
  • Order Entry: Process customer orders through our portal and SAP system, attaching Purchase Orders (POs) to sales orders, and updating expected delivery targets for customers.
  • Order Tracking & Follow-Up: Monitor open orders and provide regular status updates to customers. Manage tracking numbers, packing slips, and related communications.
  • Quote Creation: Collaborate with the sales team to prepare and issue accurate quotes for customer orders, ensuring they are competitive and meet customer requirements.
  • Invoice Resolution: Address and resolve any invoice discrepancies promptly, working with both the customer and internal teams to ensure timely resolution.
  • Team Support: Collaborate with team members on various administrative projects and ensure the smooth flow of information across departments. Teamwork is crucial for the support of our customers.
  • Customer-Centric Focus: Proactively assess and respond to customer needs, offering solutions and support to ensure satisfaction and long-term success.

Required Skills and Qualifications:

  • Industry knowledge & familiarity with the tissue converting industry is an asset but not required. A willingness to learn about customer needs and industry-specific challenges is preferred.
  • Proficiency in Microsoft Office (Excel, Word, Teams, SharePoint, Outlook); familiarity with SAP is a plus.
  • Strong organizational and time management skills, with the ability to handle multiple tasks and priorities.
  • Ability to work effectively in a team environment and communicate clearly with both customers and internal teams.
  • Ability to work independently and take full responsibility for customer service tasks, while working collaboratively with the sales team.
  • High attention to detail and problem-solving skills, especially when managing orders and resolving issues.
  • Education: High School Diploma required; an Associate's degree in Business Administration or a related field is preferred.
  • Experience: Prior experience in customer service, order entry, or inside sales is preferred, but not required.

Physical and Environmental Requirements:

  • Regularly required to sit, talk, and hear; use hands to operate a computer and office equipment.
  • Some walking and standing may be required.
  • Specific vision requirements include close vision, distance vision, and the ability to adjust focus.
